This Privacy Policy explains how JSW Software Designs ("we," "us," or "our") collects, uses, shares, and protects information when you use Caregiver Deluxe (the "Service") at caregiverdeluxe.net and through our installable apps. By using the Service, you agree to the practices described here.
Information we collect
- Account information. When a care group is created, we collect the administrator's name, username, email address, and a securely hashed password, along with the care group name.
- Caregiver accounts. Administrators create caregiver logins, which include a name, username, and a PIN (stored in hashed form).
- Care recipient and care information. Users enter information about the people they care for - which may include names, contact and emergency contact details, addresses, medications, dosages, allergies, daily care logs, observations, visit times and locations, and signatures. Some of this is health-related information.
- Payment information. Subscriptions are processed by our payment provider, Stripe. We do not see or store full card numbers; Stripe handles payment details directly. We retain limited billing status (such as whether a subscription is active).
- Technical information. We collect basic technical data needed to operate the Service securely, such as session and authentication cookies, and limited log information - for example, IP addresses recorded when a password reset is requested and when sign-in attempts are made (to protect against abuse), and server error logs used for troubleshooting.
How we use information
- To provide and operate the Service - signing you in, saving your records, and producing reports.
- To process subscriptions and manage billing through Stripe.
- To send service-related email, such as welcome messages and password-reset links, from no-reply@caregiverdeluxe.net.
- To secure the Service, prevent abuse, and troubleshoot problems.
How information is shared
We do not sell your personal information. We share information only as needed to run the Service:
- Service providers and other third parties. Certain providers process information so the Service can function:
- Stripe - payment processing.
- Our hosting and email providers - storing your data and sending service emails.
- Your browser's speech service (for example, Google, Apple, or Microsoft) - only if you use the optional voice-dictation microphone, the audio you speak is sent to your browser maker's speech service to convert it to text (see "Voice dictation" below).
- Geoapify - if you type an address, the text is sent to this provider to suggest matching addresses.
- U.S. National Library of Medicine (RxNorm / RxNav) - when you add or look up a medication, the medication name or identifier is sent to this public reference service to retrieve strength, form, and drug-interaction information.
- Within your care group. Information you enter is visible to the administrators and caregivers in your care group, according to the access your administrator sets.
- Sharing you initiate. When you email or export a report, you choose the recipient or destination, and you are responsible for where that information is sent.
- Legal reasons. We may disclose information if required by law or to protect the rights, safety, and security of our users and the Service.
Health information
Caregiver Deluxe is a recordkeeping and coordination tool. Information you enter about care recipients - including medications and care notes - is stored so that your care group can use it. You are responsible for ensuring you have the right to enter information about another person, and for using the Service in line with any laws that apply to you. Caregiver Deluxe is not a substitute for professional medical advice, diagnosis, or treatment.
If you use the Service on behalf of an organization that is subject to health-privacy laws such as HIPAA, you are responsible for ensuring any agreement those laws require is in place with us before entering protected health information. Please contact us to discuss this.
Voice dictation
Notes fields include an optional microphone for voice dictation. If you choose to use it, your browser's built-in speech recognition sends the audio you speak to your browser maker's speech service (for example, Google in Chrome, Microsoft in Edge, or Apple in Safari) to convert it to text. Because care notes can contain health information, the app shows a notice and asks you to confirm before you use this feature, and you can always type instead. The transcribed text becomes part of your notes; we do not separately store the audio.
How we protect information
We use industry-standard safeguards, including encrypted (HTTPS) connections, password and PIN hashing, session-based authentication, and limits on repeated sign-in attempts. No method of transmission or storage is completely secure, but we work to protect your information and limit access to it.
Cookies
We use cookies that are necessary to operate the Service - for example, to keep you signed in (including an optional "stay signed in" token) and to maintain your session securely. We do not use advertising or third-party tracking cookies.
Data retention
We keep your information for as long as your account is active or as needed to provide the Service. You can export your data from within the app at any time. If you close your account, we will delete or de-identify your information within a reasonable period, except where we must retain it to meet legal or billing obligations.
Your choices
- Access and export. Administrators can export care group data from the app at any time.
- Correction and deletion. You can edit or remove records within the app. To request deletion of your account, contact us using the details below.
- Email. Service emails (such as password resets) are necessary to operate the Service and are not marketing messages.
Children's privacy
The Service is intended for adults who coordinate care. It is not directed to children, and we do not knowingly create accounts for children under 13. Care recipients of any age may be the subject of records entered by an authorized caregiver.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. Significant changes may be communicated through the Service.
